There was a very specific moment I remember thinking, “Okay… I think I’m done.”

I was sitting at my desk toggling between tabs, trying to make sense of another pricing change and figure out why a basic feature I needed was suddenly locked behind a higher tier.

If you run a private practice, you know that feeling. The quiet admin frustration that builds slowly over time.

After several years running my practice on SimplePractice, I made the switch to Jane in 2023 and I haven’t looked back since.

Now that I’ve had a few years inside Jane’s EHR and practice management software, I want to share what that transition was actually like. The good, the surprising, and the “why didn’t I do this sooner” moments.

Why I Started Looking Beyond SimplePractice

SimplePractice supported me well in my early years. When you’re just starting out, you mostly want something that works and doesn’t overwhelm you. But as my practice evolved, so did my needs.

Over time, I started noticing something: I was either paying for features I didn’t use or needing features that were sitting just out of reach behind a higher pricing tier.

It wasn’t one dramatic breaking point. It was more like a series of small “hmm” moments that slowly turned into “this doesn’t feel aligned anymore.”

One of the biggest differences I noticed after switching was this: things just felt simpler.

Before Jane, my systems felt stitched together. Scheduling in one place, payments somewhere else, and other tools layered on top.It worked but it felt patchy and disconnected.

With Jane, most of what I need lives inside one system. Scheduling. Charting. Billing. Payments. It’s cohesive. My back end feels cleaner and my brain feels less scattered.

This one surprised me with how much I love it.

Clients can see my real time availability and book without the back and forth emails. No more “Does Tuesday at 3 work?” “Actually can we do Thursday?” threads.

It supports clients in the exact moment they’re ready. They can schedule while motivation is high, instead of waiting for me to respond between sessions.

It feels more accessible and more efficient at the same time.

Appointment Reminders With Actual Insight

Jane’s reminder system shows you whether clients have opened their reminder emails or clicked links.

I didn’t think I needed that feature, but now I cannot imagine not having it.

It removes the guessing. If someone misses an appointment, I’m not spiraling wondering whether the reminder failed or if I forgot something. There’s clarity. And clarity lowers stress.

The Transition I Was Dreading

I won’t pretend I wasn’t nervous about switching. I had years of client data, and the thought of transferring everything felt overwhelming. Just imagining spreadsheets, exports, and the possibility of something getting lost in the process was enough to make me want to lie down. It’s one of the biggest reasons I put off making the switch for so long.

What made the difference was the support from Jane’s import team. They guide you through the process step by step, starting with exporting your data from your previous EHR and uploading it into Jane. Once I submitted my files, their team took it from there and handled the actual import, keeping me updated along the way. Having people walk me through each stage made something that felt intimidating suddenly feel very doable.

Within about a week, my clients’ information was inside Jane and ready for me to review and verify. There were still a few things for me to double check on my end, but the bulk of the work was handled by their team. What I had mentally prepared to be a month-long administrative marathon ended up being a guided process with a lot of support.

I was also worried my clients would feel overwhelmed navigating something new. Thankfully, most of them logged in, verified their information, and moved forward without issue.

In the end, the transition felt far smoother than my anxious brain had predicted.

A Few Years In

Switching to Jane has genuinely made my day to day lighter.

There was a learning curve, of course. Any new system requires some adjustment. But the combination of intuitive design, flexible pricing, and consistently human support has made running my practice feel more sustainable.
